Training process

Training needs analysis

If you have specific requirements regarding the training programme, we will carry out a training needs analysis for you. This will guide us on which aspects of the programme should receive greater emphasis, so that the training programme meets your specific needs.

What will you gain?

icon

Clearer task structure - You will learn how to turn strategic goals into projects, tasks and subtasks, so you can organize your own work and team activity faster and see more clearly what truly needs to be done.

icon

Right method for the job - You will recognize when Waterfall, Scrum or Kanban fits your organization and learn how to combine these approaches with everyday task management without adding unnecessary complexity.

icon

Confident work in Asana - You will build a clear Asana workflow using list, board, calendar and timeline views, giving you better control over ownership, deadlines, dependencies and team progress.

icon

Less communication chaos - You will learn how to turn emails into actionable tasks, connect your calendar with planning and reduce information overload, so Outlook supports execution instead of slowing it down.

icon

A consistent Microsoft 365 setup - You will see how to connect Teams, SharePoint and Power Automate with daily work organization, so documents, notifications and communication support the process instead of creating tool chaos.

icon

Practical ChatGPT support - You will learn how to use ChatGPT to break down tasks, create checklists, plans, summaries and status updates, while knowing where automation ends and your judgment is still essential.

icon

More realistic priorities - You will master prioritization techniques such as Eisenhower and MoSCoW, helping you separate urgent from important, avoid wishful planning and protect your team from overload.

icon

An implementation plan you can use - You will leave with a more organized personal task system, a set of quick wins and a practical implementation plan that you can start applying with your team right after the training.

Training programme

1. Introduction to digital work organization

  • the role of task management in an organization (individually and as a team),
  • hierarchy: strategic goals → projects → operational tasks,
  • SMART Goals – defining goals,
  • INVEST method – what a „good task” is,
  • cost–effect: when a task makes business sense,
  • analysis of the participants’ current way of working (process mapping),
  • the „ASAP” problem vs realistic planning (deadline vs effort).

2. Task and project management methodologies

  • Waterfall – when it makes sense (linear processes),
  • Scrum – iteration and teamwork,
  • Kanban – visualization of workflow,
  • how to choose a method to fit the realities of the organization,
  • combining methods with daily task management.

3. Asana as the main work tool

  • structure: projects, sections, tasks, subtasks,
  • creating clear workflows (To Do / Doing / Done – without Planner),
  • views: list, board (Kanban), calendar, timeline,
  • dependencies between tasks,
  • priorities and workload management,
  • assigning responsibility and tracking progress.

4. Outlook as an operational center

  • turning emails into tasks (managing the mailbox as a source of work),
  • good practices for time and task management in Outlook,
  • calendar integration with task planning,
  • reducing communication chaos.

5. Microsoft 365 – ecosystem support

  • Microsoft Teams – communication and teamwork,
  • workflow in Teams – organization of the team's work around tasks,
  • automations using Power Automate (e.g. notifications, information flows),
  • SharePoint as the documentation backend for projects,
  • tool consistency vs tool chaos.

6. ChatGPT as support for working with tasks

  • ChatGPT in planning and breaking down tasks,
  • creating checklists, plans and project structures,
  • automation of communication (emails, summaries, statuses),
  • AI limitations – where a human decision is still needed.

7. Prioritization and work organization

  • Eisenhower Matrix,
  • MoSCoW method,
  • realistic vs wishful planning,
  • how to avoid team overload,
  • work transparency and responsibility.

8. Practical workshop

  • project structure in Asana (from goal to tasks),
  • creating workflow and dependencies,
  • work integration: Asana + Outlook + Teams,
  • analysis of participants’ cases,
  • organizing your own task management system.

9. Summary and implementation

  • the most common mistakes in organizations,
  • Quick wins – what can be implemented right away,
  • implementation plan after the training.

What are the prerequisites for participating in the training?

icon

Basic office software skills - You should be comfortable using a computer, a web browser and common office apps, so during the training you can focus on work organization rather than basic tool handling.

icon

Experience with task-based work - You should have practical experience with individual or team tasks, so you can easily relate the methods, prioritization techniques and workflows to your own everyday work.

icon

Familiarity with Outlook or Microsoft 365 - You should know the basics of working with Outlook or the Microsoft 365 environment, because the training shows how to use these tools for planning, communication and task management.

icon

Openness to new tools - You should be willing to try new ways of working and tools such as Asana and ChatGPT, so you can take part in the exercises and build your own task management system.
